Compilation of school records is the most important aspect of school management. This responsibility is performed by every teacher, especially the head teachers and in-charges, it should be remembered that the responsibility of compiling records in a suitable manner is solely on the headmaster, it cannot be delegated to his subordinates. The appointment of clerks to prepare registers for records does not extinguish the responsibility of the Headmaster, nor does any other such arrangement reduce the burden of responsibilities. In fact, the more helpers there are, the greater the responsibility of the headmaster. They have to take everyone along and do the proper work regarding school enrolments  so that in the record there should be no confusion.

Any organization that comes into existence on a permanent basis should prepare records that record the organization's foundation, stages of development, conditions at different periods, objectives, achievements, working, effectiveness and others. The same thing is necessary for schools which are the most important public service institution. These schools are accountable for their performance to many individuals and institutions, primarily to parents who want their children to have a good education. After all, they save for their own living expenses and pay for their children's fees, even if the education is free, they contribute to their children's education expenses through various donations and taxes. So they have a right to know about their children's performance in school. For the society, the status of the school is the most organized institution, therefore the institution  has to take steps fulfill the social expectations and to keep maintain the trust of public.

 



 The central or local government which manage the funds ​​for the management and maintenance of the school and has the right to be fully aware of all school affairs. And to see whether the funds are being used properly or not and what problems are hindering the achievement of the desired results. And finally, the management and other staff of the school and the students receiving education there also have the right to be fully informed about their work so that the success can be achieved by removing any deficiencies after pointing them out. Daily observation and annual record of learning demand can help in giving the learning a right direction.

 

Schools  keep records very carefully to be accountable to all concerned authorities and persons.

 

These records are compiled in a highly regulated manner so that the information collected from it can be utilized in an appropriate manner to enhance the development and reputation of the institution. In the light of this record, the career of the students is determined. They can be helped to adapt to the work environment. Moreover, due to these records, the authorities can be informed about the correct facts in the form of statistics. Which are called "Returns" this shows the current state of the school's educational development and the educational needs of the local population.

 

 



 A review of the records in various representative high schools established in the country reveals that these records are compiled to serve the following five purposes:

 

1- Records are compiled to assist in guidance process, student classification and classroom assignment.

 

2- Another purpose of compiling records is to provide information to the class teacher regarding the performance of the students and

Improving classroom teaching and strategies.

 

3- Compilation of records also helps in academic research.

 

4- Compilation of records helps to meet the needs of the school, and to inform the relevant authorities about these and to present reports.

5- It motivates the students to work.

Among them, the first two objectives are of great importance for all educational affairs of the school.
